Hospitality Coordinator
Status: Non-Exempt, hourly
Reports to: Event Coordinator
Summary of Role
Coordinate, plan and organize food services for the church to create consistent level of excellence throughout all ministries with a focus on warm hospitality and hosting in congenial manner and presentation. Build and maintain a Dream Team to be involved and assist with food service at services and events.
Position Status & Schedule
Full-time (40 hours), Monday - Friday 9am-5pm. Christmas, Easter and Dream Team Appreciation service dates and times are black out days for time off. There may be other events that you are required to work outside of your normal schedule, you will be informed in advance of any of these requirements.
Primary Functions & Responsibilities
Hospitality
• Create food service plans and schedules for events and conferences
• Plan menus, purchase, prepare and/or lead vendors for food services at events
• Receive, approve, and coordinate all food service via event software
• Build and/or maintain vendor relationships
• Develop and maintain updated catering and food service-related vendor list
• Maintain, update, stock & standardize food service items and water supply
• Manage and maintain food service record of events including needs, requirements, menus, etc.
• Hold and maintain food handler’s certification and maintain standards throughout the church
• Receive and be the point of contact for deliveries from weekly vendors
Dream Team
• Recruit, train and lead dream team for the Hospitality and Food Service Dream Teams
• Build and maintain relationships with Dream Teamers
Financial
• Reconcile accounts with food service/supply vendors and submit payment requests via purchasing process
• Assist with annual budgeting and monthly budget updates, ensuring resources are being stewarded wisely in the area of food services.
• Enter all hospitality and food service expenses into applicable system and maintain up to date expense reports
Green Room
• Plan menus monthly. Send to Event Coordinator and Executive Assistant for approval
• Order meals, coordinate delivery times, enter and code items in expense report or purchasing system
• Order food and supplies that need re-stocking by utilizing a shared shopping list

• Proficient in Mac OSX & Microsoft Office

Education & Experience
• 2+ years experience in the hospitality industry especially conference-size (500+) planning, menu development, cost analysis, preparation and service for large and small group functions
• Knowledge and experience in food handling policies and procedures set forth by the church and the Health Department
Work Environment & Physical Demands
• Must be able to stand, stoop, walk, and lift 20 pounds.
• Open office environment
